Because our services may involve custom design, development, configuration, and delivery of digital products or software systems, refund eligibility depends on the type and stage of the project or service.

1. Custom Development Services

Custom website development, e-commerce, POS, ERP, and other software projects involve dedicated development time, resources, design work, and technical implementation.

Once development work has started, payments or deposits may generally be non-refundable because resources have already been allocated to the project.

If a project is cancelled by the client after work has started, Qavsa Studio may retain payments corresponding to work already completed, resources already committed, and third-party costs that cannot be recovered.

2. Deposits & Initial Payments

Some projects may require an upfront deposit or initial payment before development begins.

Unless otherwise agreed in writing, deposits are generally non-refundable once Qavsa Studio has begun project planning, design, development, or other work related to the project.

If Qavsa Studio is unable to commence or deliver the agreed project due to reasons within our reasonable control, we will work with the client to determine an appropriate resolution, which may include rescheduling, replacement services, or a refund where applicable.

3. Digital Products & Services

Digital products, software access, licenses, subscriptions, or other services that are delivered or activated immediately may generally be non-refundable after access or delivery has been provided.

Refunds may be considered where a significant technical failure prevents the client from accessing or using a purchased digital service and the issue cannot reasonably be resolved by Qavsa Studio.

4. Eligible Refund Situations

Depending on the circumstances, Qavsa Studio may consider a refund or alternative resolution in the following situations:

  • Duplicate Transactions: A documented payment error results in the client being charged more than once for the same service or transaction.
  • Service Delivery Failure: Qavsa Studio is unable to deliver the agreed service and the failure cannot be reasonably resolved or corrected.
  • Significant Technical Issues: A purchased digital service has a significant technical issue that prevents its intended use and cannot be reasonably resolved.
  • Mutual Agreement: Qavsa Studio and the client mutually agree in writing to cancel a project and determine an appropriate refund based on the work already completed.

5. Non-Refundable Situations

Refunds generally will not be provided in the following situations:

  • The client changes their mind after development or project work has started.
  • The client no longer requires the website, software, or digital service after work has commenced.
  • The client fails to provide required content, information, approvals, or access necessary to complete the project.
  • Delays are caused by the client's failure to respond, provide materials, or approve project milestones.
  • Issues are caused by third-party services, hosting providers, payment providers, APIs, or other external platforms outside Qavsa Studio's reasonable control.
  • The client requests additional work or features outside the original project scope.

6. Third-Party Costs

Costs paid to third-party providers, including domain registrations, hosting services, payment gateways, software licenses, APIs, subscriptions, and other external services, may be non-refundable.

Where applicable, any refund for third-party services will be subject to the refund policies of the respective provider.

7. Refund Request Deadline

Refund requests should be submitted within a reasonable period after the issue giving rise to the request becomes known.

Requests submitted significantly after the completion of a project or delivery of a service may not be eligible for a refund.
